When we process information on behalf of a customer, we generally act as a service provider. We use that information to provide and support the services requested by the customer.

If you use Atrium through your association, management company, or community, certain requests about your account, property, balance, records, or documents may need to be directed to that organization because it controls the underlying association records.

Account and Contact Information

This may include names, email addresses, phone numbers, mailing addresses, property addresses, account identifiers, login credentials, and user roles or permissions.

Financial and Ledger Information

Atrium is not a bank, accounting firm, law firm, collection agency, or financial advisor. Unless separately agreed in writing, Atrium does not independently verify the accuracy of financial records, account balances, ledger entries, charges, credits, budgets, or reports entered into or generated through the platform.

With Authorized Users

Information may be made available to users authorized by the customer, such as association representatives, managers, board members, homeowners, unit owners, vendors, or other permitted users, depending on role and permission settings.

With Service Providers

We may share information with vendors and service providers who help us operate our business and provide the platform, such as hosting providers, payment processors, authentication providers, communication providers, support tools, analytics providers, security providers, and professional advisors.

With Customers

If you use Atrium through an association, management company, or other customer, we may share information with that customer or its authorized administrators.

For Legal or Safety Reasons

We may disclose information if we believe it is reasonably necessary to comply with law, respond to legal process, protect our rights or operations, investigate security incidents, prevent fraud or misuse, or protect users, customers, or the public.

Business Transfers

If Atrium is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to appropriate protections.

7. We Do Not Sell Personal Information

Atrium does not sell personal information in the ordinary sense of exchanging it for money.

We also do not intend to use association records, homeowner records, financial records, or ledger information for targeted advertising.

We retain information for as long as reasonably necessary to provide our services, comply with legal and contractual obligations, resolve disputes, maintain security, support customer operations, and enforce our agreements.

Because our services may be used to manage association records, some information may need to be retained according to customer instructions, governing documents, legal requirements, accounting obligations, official-records rules, or other retention obligations.

When information is no longer needed, we may delete, de-identify, archive, or securely retain it as appropriate.

9. Security

We use reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure.

No system can be guaranteed to be completely secure. Users are responsible for maintaining the confidentiality of their login credentials and promptly notifying Atrium or their account administrator if they believe their account has been compromised.

Customers are responsible for determining what information is uploaded to the platform, who may access it, whether records should be redacted, how records are used, and how association record requests are handled.

Atrium provides software tools to support customer operations but does not independently determine a customer’s legal, accounting, governance, or recordkeeping obligations unless separately agreed in writing.

11. Your Choices and Rights

Depending on where you live and how you use the services, you may have certain privacy rights, including the right to request access, correction, deletion, or a copy of certain personal information.

If your information is controlled by an association, management company, or other customer, we may direct your request to that customer or work with that customer to respond.

Certain information may not be deleted or changed if it must be retained for legal, accounting, security, contractual, dispute-resolution, official-record, financial, or association-governance reasons.

Our services are not directed to children under 13. We do not knowingly collect personal information directly from children under 13 without appropriate consent.

If we learn that we have collected information from a child under 13 in a manner not permitted by law, we will take appropriate steps to delete or address that information.
